We are a Lighting Manufacturer based in Red Hook and we are looking for an experienced and reliable Office Administrator. They will be a a central member of our team, and as such they will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The responsibilities of the Office Administrator will include bookkeeping and customer service as well. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. The office administrator ensures smooth running of our company’s offices and contributes in driving sustainable growth. Responsibilities are listed but not limited to the below:

Responsibilities

Coordinate office activities and operations to secure efficiency and compliance to company policies
Manage agendas/travel arrangements/appointments etc. for the upper management
Manage phone calls and correspondence (e-mail, letters, packages etc.)
Support budgeting and bookkeeping procedures
Track stocks of office supplies and place orders when necessary
Draft correspondences and other formal documents
Process invoices for outgoing orders
Maintain email correspondence with customers regarding their orders and account
Manage accounts receivable
Plan and schedule appointments and events
Greet and assist onsite guests
Answer inbound telephone calls
Perform all other office tasks
Skills

Proven experience as an office administrator, office assistant or relevant role
Outstanding communication and interpersonal abilities
Excellent organizational and leadership skills
Familiarity with office management procedures and basic accounting principles
Excellent knowledge of MS Office and QuickBooks
High school diploma required
